Terms of service

The agreement for using Meridio: your account, the plans, how minutes work, billing, and the rules for calling. Written in plain English.

Last updated October 15, 2026

1.About these terms

In short: This is the agreement between you and Meridio Software LLC. Using Meridio means you accept it.

These terms are the agreement between you and Meridio Software LLC, a Florida limited liability company, doing business as Meridio (“we”, “us”), for using the Meridio website and its calling service. By creating an account, or by using the CRM as a member of someone's team, you agree to them. If you don't agree, please don't use the CRM.

“You” means the person who uses the CRM. The account owner is the person who signed up and pays; the owner is also responsible for everyone they add to their team.

Contact us: questions about these terms, your account or billing go to meridiocrm@gmail.com.

2.What the CRM does

In short: Meridio is a CRM with calling, a map and a calendar for insurance agents. Features keep improving.

Meridio is a CRM for insurance agents. It keeps your leads, shows them on a map, plans door-knocking routes, books appointments on a calendar, keeps callbacks and tasks, stores documents for each lead, and lets you call leads from your computer with phone numbers and calling minutes we provide.

We keep adding and improving features. We may change how a feature works, as long as the main service stays the same.

3.Your account and your team

In short: Keep your details true and your password private. The account owner answers for their team.

  • Give true information when you sign up, and keep it up to date.
  • Keep your password private. You are responsible for what happens in your account.
  • The account owner can add team members (for example appointment setters; the price is in section 4). They use the owner's numbers and minutes and the owner's plan, can't buy anything, and must follow these terms too.
  • You must be at least 18 and use the CRM for your business.

4.Plans

  • ReplacementsStep-by-step reminders (Stop PAC, forms) until a replacement is done.
  • Leads + documentsUnlimited leads, CSV import, and PDFs or photos saved on each lead.
  • Terminator mode (hands-free dialing) is part of Phone Agent. Every new account can try it during the free trial, whatever the plan.
  • Setters: $5 a month per setter on Field Agent; 1 setter included, then $5 a month each on Phone Agent. Setters are counted from the day you invite them until you remove them.
  • Business names: $5 a month per number on Field Agent; included on 2 numbers, then $5 a month per number on Phone Agent (see section 7).
  • Spam protection: we check your numbers for spam labels and tell you when it's time to switch one. Phone companies decide their own labels, so we can't promise a number is never labeled.

Field Agent is made for agents who sell mostly in person. Phone Agent is made for agents who sell mostly by phone. Every other CRM feature is on both plans.

5.How calling minutes work

In short: Minutes count only on answered calls, rounded up to whole minutes. Extra minutes never expire.

  • A call uses minutes only when it is answered. Calls that ring with no answer, busy lines and “number not in service” messages use no minutes.
  • Answered means answered by anyone or anything: the person, their voicemail, a phone's call screening assistant, an answering service, a phone menu or a fax machine.
  • Minutes are counted in whole minutes, rounded up. A 10-second call uses 1 minute; a call of 1 minute and 5 seconds uses 2.
  • Free short calls: a call answered for less than 10 seconds (like hanging up on a voicemail greeting) uses no minutes, up to 100 a month on Field Agent and 1,000 a month on Phone Agent. After that, short calls use 1 minute.
  • Some phone lines cost more to reach. Calls to higher-cost lines (for example Hawaii) use 1¼ minutes for each minute, and calls to rural lines use 6½ minutes for each minute; the CRM asks you first before calling a rural line. A few very expensive lines can't be called at all.
  • Recorded calls. Calls are recorded only when you turn recording on. A recorded call uses 1¼ minutes for each minute (about 1 extra minute for every 4 minutes of talking). Calls that use no minutes, like free short calls, don't pay for their recording either. Calls forwarded to your own phone are never recorded.
  • Incoming calls use minutes too, the same way as outgoing ones, and time spent leaving you a voicemail counts. A call forwarded to your own phone uses minutes twice as fast (it runs on two phone lines: the caller's and the one to your phone).
  • Included minutes start fresh each month. Unused included minutes don't carry over.
  • Extra minutes can be added any time, from $10 up to $500 at once (for example $10 = 650 minutes, $20 = 1,350 minutes, $50 = 3,500 minutes). Extra minutes never expire and are used after the included ones. If you close your account, we refund the extra minutes you haven't used (see section 8).
  • At 0 minutes, calling stops until minutes are added. A call already in progress may finish; any minutes it goes over come out of your next purchase.

6.Phone numbers

In short: Phone numbers come with your plan. They're ours, lent to you, and go back when removed.

  • Your plan includes the number of phone numbers shown above. Extra numbers are $3 a month each, up to 20 numbers per account.
  • The numbers are provided by us for use with the CRM; you don't own them. If you remove a number, or your account closes, the number goes back and you may never get it again.
  • A removed number still counts toward your plan until the end of that month.

7.Business names

In short: Your business name can show on calls once we approve it. No government or other companies' names.

You can ask for your business name to show when you call (for example “SENIOR BENEFITS”, up to 15 letters). Home landlines show it reliably. Many cell phones don't. Once approved, it takes a few days to appear.

  • Every business name is checked by us before it goes live. We may refuse a name and tell you why.
  • It must be your real business name or your own name.
  • No government or agency names (for example Medicare, IRS, Social Security).
  • No other company's name, and nothing misleading or offensive.
  • Price: $5 a month per number on Field Agent, included on 2 numbers, then $5 a month per number on Phone Agent. Charged from the day it's approved until you turn it off.
  • We may remove a name that breaks these rules, even after it was approved.

8.Trial, billing and cancelling

In short: First month free, then charged monthly in advance. Cancel any time; unused bought minutes are refunded.

  • New accounts start with a free first month: 250 minutes, 50 free short calls and 1 phone number, on either plan. A card is needed to start; it isn't charged until the free month ends, on the same day next month. During the free month you can't buy minutes, add setters or business names; if you run out of minutes you can start your plan early (charged that day, with the full plan from then on).
  • Plans are charged monthly in advance on your card. Extra numbers, setters and business names are added to the same monthly bill (a part-month is charged on the next bill). Changing plans takes effect on your next billing date (during the free month, right away).
  • If a payment fails or the plan is canceled, the account (including your team) is locked until it's paid. Your data is kept, not deleted.
  • You can cancel any time in Settings → Plan & minutes. Canceling stops the plan right away and locks the account; your phone numbers are given back. Monthly plan payments aren't refunded. You can start a plan again later (charged that day).
  • When you cancel, we refund the extra minutes you bought and haven't used, at the price you paid for them, to the card you paid with. Included minutes, free short calls and minutes already used aren't refunded.
  • We may change prices with at least 30 days' notice by email.

9.Calling the right way

In short: Follow the calling laws, honor every stop request, and get permission before recording.

You are responsible for following the laws about calling people. In particular:

  • Only call people who agreed to be contacted, and follow the federal and state rules for sales calls (such as the Telephone Consumer Protection Act, the National Do Not Call Registry and state telemarketing laws, including allowed calling hours).
  • Honor every request to stop calling: put those numbers on your Do Not Call list. The CRM skips them when it dials for you, but it lets you call one yourself and doesn't check the National Do Not Call Registry for you.
  • Don't pretend to be someone else, show a false caller ID, or use the CRM for fraud, harassment, threats or anything illegal.
  • If you turn on call recording, you are responsible for having each person's permission to record where the law requires it (Florida requires every person on the call to agree).
  • Don't try to break, overload or get around the CRM's limits or security.

We may pause or close an account that breaks these rules, to protect the service and other customers.

10.Your data

In short: Your leads are yours and we never sell them. Trash 15 days, recordings 30 days. Details are in the privacy policy.

  • Your leads, notes and documents belong to you. We keep them only to run the CRM for you, and we don't sell them.
  • You can export your leads at any time.
  • Deleted leads stay in the Trash for 15 days, then they are removed for good.
  • We keep call records (who, when, how long) to count minutes and show your history.
  • Call recordings are kept for 30 days, then deleted for good. You can delete one sooner.
  • You are responsible for having the right to keep and contact the leads you add.
  • What we collect, who handles it for us and how to delete it is in our privacy policy.

11.Service availability

In short: We aim for always on, but can't promise it. Calls also depend on phone networks and your internet.

We work to keep the CRM running all the time, but we can't promise it will never be down, and calls depend on phone networks and your internet connection. The CRM is provided “as is”.

12.Limits of our responsibility

In short: Our responsibility is capped at what you paid us in the last 12 months.

As far as the law allows, we aren't responsible for lost sales, lost data or indirect damages, and our total responsibility for any claim is limited to what you paid us in the 12 months before it. You agree to cover any claims caused by how you used the CRM, including calls you made.

13.Changes to these terms

In short: We email you when the terms change. Using Meridio afterwards means you accept them.

We may update these terms. When we do, we'll change the date at the top and email you. Using the CRM after that means you accept the updated terms. You can always read the current terms in Settings.
